Everything You Need to Know About This Facilities Management Software

QuickFMS is a cloud-based platform that enables you to manage multiple properties spread across the globe. It helps in optimizing seat utilization resulting in huge cost savings, allows you a better control over all physical assets and maintenance, helps your employees in tracking their service requests and shared facility bookings, etc.

QuickFMS - Facility Management

QuickFMS ensures total infrastructure control in any organization at a price which has the potential to disrupt the CAFM industry worldwide. It is for companies with less than 1000 employees who need no customization or a dedicated license. Customer pays the only monthly subscription.

Advantages of Online Facilities Management Software

Advantages of a SaaS model of licensing:

  • Customer need not invest in the SW License
  • Customer need not invest in HW, OS & DB SW License
  • No additional AMC charges
  • SW will be hosted on a secured server farm

To help you better understand about our software, we have compiled a list of questions that our customers frequently ask:

Can we use QuickFMS if we have more than 1000 employees?

A customized pricing will be given to your company based on area under management as well as the exact number of employees.

Does the number of employees refer to users or agents? Kindly clarify.

Our base slab is for 1000 employees and all of them will get the login access.

Why is there a big price difference between the perpetual license and the SaaS model?

Our pricing models are in sync with global pricing strategies of enterprise software products.

Can the product get integrated with ERPs?

Yes, we have different kinds of the integration process. Depending on the requirement and technical feasibility, we will use that, like SFTP, FTP, APIs, FLAT FILE, DB to DB, etc.

Do you have APIs to connect with large ERPs?

Yes, we have, depending on the requirement, we will tweak the APIs accordingly.

What are the MIS reports that are available?

As of now, we are offering 6 different modules specific MIS reports with 100+ preformatted reports with Pie Chart/Bar Chart capabilities. Module-specific reports help the user/admin to view the information in a single click and can be exported to excel and other formats.

We are an IS0 27K certified company and when we host our data on the cloud, we expect our service provider to be ISO 27K certified. If not, what data theft/misuse precautions will be taken to convince us on data security? Our SaaS product is currently hosted by our Hosting Partner AWS who has got all relevant certifications like ISO/IEC 27001:2005, ISO 22301:2012 etc. Recently it was tested on the Azure platform of Microsoft and we have become their Silver Partner. So eventually in the coming quarters, we will be moving to Azure platform and they have the highest level of required certifications and security policies.

What is the ROI of using QuickFMS?

We have seen from other implementation that if the customer is going for the SaaS model of licensing, the ROI is from the 1st month itself. And, if they go for the enterprise license, then also the ROI is less than 6 months.

Is 24/7 support available?

Our platform is very stable and easy to use, for premium customers we do offer phone and email support 24/7. If a specific requirement is there, dedicated resources either offsite or at client location can also be deployed.

Do you offer Enterprise version as well?

Our SaaS offering is called QuickFMS while the Enterprise Version with an onsite license is offered as A-Mantra. For Government and related entities, we recommend QuickFMS because the license is given free of cost and the customer only has to bear a maintenance cost related to the initial creation of the data sets and subsequently to keep it updated. This model ensures the Total Cost of Ownership (TCO) is low and the Return on Investment (ROI) practically accrues from the first quarter itself.

If there are any specific data security policies followed by the customer organization we study those and ensure compliance with them. However, if Enterprise deployment is sought and budget is not a constraint for purchasing a license, then we are perfectly comfortable offering that model too. In such instances, the payment model can be tweaked to waive the license fee but the hosting charges and monthly maintenance costs would be higher than in the SaaS version.

Can we do customization in SaaS model as per customer requests?

SaaS pitches have started very recently, so we will have to keep this option open. However, our strategy is to evaluate each request and decide whether it can be incorporated into the core product based on our understanding of the market and customer needs. Unless we decide to incorporate, the SaaS model will not offer customization other than some reports. Those who need customization will have to opt for the Enterprise software option.

Is this S/W accessed from Android phones or only selected views?

It is compatible with HTML5 and can be accessed by Android devices. Recently, we launched helpdesk app and other modules are in the pipeline.

Can the product handle different time zones and currencies?

Yes, the user can choose the time zone option in the profile page and set it as per their need. And, depending on the time zone chosen, the relevant currency will be considered in the product.

Why would a company leave their current system and move to your application?

Don’t envisage companies who have an existing system and are happy with it to consider a move. Right now most potential customers we are speaking to, including Billion dollar companies, don’t even have a solution which was very surprising. Those who have it but need a change due to challenges being faced are talking to us.

Why should we choose QuickFMS?

At the individual module level, for example, Maintenance, there are players who have very comprehensive solutions. Their customers are telling us they pay a lot of money and 90% of the features are not used at all. Our simple-to-use solution will take care of the important requirements and that’s our pitch to our customers.

Some larger companies offer multiple modules. We understand from customers that they are not very comfortable with larger implementation cycles as well as the pricing model being offered currently, we intend to offer something innovative and get our market share.

Facility Management Software: Top Benefits and Uses

Facility managers can use facility management software to track, plan and manage the operations of their facilities. The systems allow the managers to be more efficient in carrying out various administrative functions such as ensuring the building is properly inspected, maintained and repaired.

Facility Management Software - Benefits and Uses

Depending on where they are used, facility management systems can provide important information about the properties being managed. For example, you can get information regarding:

  • Specific tenants in your properties
  • Staff in charge of maintaining the property
  • Furniture available in your properties (beds, TVs, phones, etc.)
  • Equipment connections (communications, air conditioning, electrical, etc.)

Modern FMS use information technology (IT) based systems in the built environment to help managers ensure their organizations’ facilities are fully utilized at the lowest possible cost. Moreover, the systems support operational and strategic plant management.

Advanced FMS systems have intuitive user interfaces and are powered by multiple technologies including, Building Information Models (BIM), CAD systems, object-oriented database systems, among others. Most of the software programs have inbuilt capabilities such as analysis and scheduling. The software applications can be programmed to collect data from a variety of sources.

For example, data can be input manually by managers or automatically relayed through an intranet. The data gathered can be analyzed, retrieved or stored from a single data store to provide real-time information on the performance and state of a facility at any time.

Features of Facility Management Software

Cloud facility management programs have intelligent interfaces, advanced automated management functionalities and are compatible with various external applications. The most common features of facility management software include:

a) Data Management Tools. Facility management systems reuse existing data and can analyze and output external data into useful information. The software applications have intuitive interfaces that make it easy for users to input, edit or analyze data.

b) Interactive Graphics. Some FMS systems have interactive modules that allow managers to carry out basic drafting and modification of facility plans, layouts, and other visual documents. Some systems can be integrated with industry standard CAD engines to use standard CAD file formats.

c) Interactive Databases. In facilities management, data is everything. FMS programs are powered by fully developed relational databases that are designed to handle various requirements of managers.

Benefits of Facility Management Software Systems

Below are some benefits of using facility management software in your organization:

Managing Services and Contractors
You can use facility management software to keep track of different authorized traffic within your facility. For example, you can monitor and schedule building maintenance services performed by a third party. You can also manage a large number of contractors that may be involved in your company’s core operations.

Managing the traffic in your facility is critical to the security of your company’s sensitive data that may be hosted in machines inside the building.

Regulatory Compliance
Regardless of the industry that you are in, your facility has to comply with specific national or international standards. Regulatory bodies usually carry out random inspections and periodic audits to find out whether buildings are compliant with regulatory requirements.

Maintenance software systems can make it easy for your facility to be regulatory compliant. The programs can also help to reduce the amount of preparation and paperwork required before an audit. Through the software, you can generate reports that detail the maintenance carried out on the facility or vital machinery.

Fleet Management
You can also use facility management software to keep track of trucks, corporate fleets or other vehicles coming in and going out of your premises. The software can be helpful in planning the flow of traffic inside your facility. For example, some of the programs have modules that allow you to mark areas that require exclusive access, restricted bays inside the facility and so on.

Property Management
Another application of FMS is in property management of facilities. On a daily level, the software can help with tasks such as scheduling conferences as well as booking rooms. The software will also come handy in situations when the company will need to use particular areas of the building over a particular period.

In the long term, the system can be used to manage rentals and leases. Managers can use FMS to keep abreast of the contractual responsibilities of tenants.

Maintenance features are available in nearly all facility management software. The features allow you to easily schedule and complete maintenance tasks for assets within the building. Some systems are specially developed for maintenance of equipment and systems.

A computerized management maintenance system (CMMS) is similar to facility management software. However, the main difference between the two systems is that the latter takes maintenance into account. With an FMS system, you have more robust and comprehensive management support.

Workspace Management
Most FMS systems have a range of workspace management tools that make it easy for the people working in your company. The tools can be used for allocating equipment, positioning individual workers, moving items around a workflow, among others.

Reduce Overtime
Another reason why you should be using facility management software is to reduce downtimes and ensure optimal operations. The software allows you to track past, ongoing and upcoming maintenance services, thereby reducing the needs for emergency maintenance. You can also schedule maintenance to ensure the contractors work more effectively and efficiently.

Using a facility management software helps to improve the efficiency of your organization’s operations and lowers cost. The cost savings of using the software can be quite significant. However, you need to choose an FMS with the right functionality to get a positive ROI on your investment. Get an FMS recommended by an experienced vendor who will be there to support your organization as it scales and its maintenance operations evolve.

5 Inherent Skills That Make Women Perfect Facility Managers

A woman tends to be naturally expert at skills such as problem solving, networking, and at handling different tasks simultaneously, and effortlessly. The fact that women are better than men at being emotionally intelligent is what makes them uniquely qualified for facilities management.

Women have always been born managers as they keep doing all their in-home tasks without even compromising on their out-home jobs. And the age of technology has only come as a boon to them. It has enabled them to take on all these in-home and out-home jobs simultaneously and by virtually being omnipresent at both places all the time.

In companies, both big and small, women are now acquiring higher positions and leading them successfully in attaining more heights. Their soft skills are proving them to be better than their male counterparts in managing different departments and even the most complex affairs. Facility management software is helping them in being more efficient than ever in handling all the problems that arise in the facilities management.

Listed below are 5 skills that women possess generally better than men, and their utility in facility management:

  1. Networking Expert:
  2. Women are great networking professionals. They know it inherently how to create and expand their network. Employees also turn to women bosses with more assurance that their issues will be addressed. Unlike men, women stick together and protect one another. The connections they effortlessly make can be of great use to them as well as to the company.

Utility in facility management: Making connections is like establishing a chain of potential problem solvers for you. Every workplace faces many issues related to space & infrastructure management, and people & organization management. A facility manager with these connections will not let you wait for the problem to be resolved. Networking skills help in making every task smooth, though tasks like supervising the staffs, and dealing with the complaints from management, vendors, and the inspectors will benefit the most from these skills.

  3. Relationship Specialist:
  4. Women do not require to learn how to make relationships. It comes naturally to them. Cultivating genuine, meaningful, and purposeful relationships is what they specialize in. They never quit on making healthy and long-lasting relationships. They thrive at creating and sustaining momentum for both themselves and others. This helps them in having a deep understanding of the limits and abilities of their colleagues and staffs.

Utility in FM: Relationship expert facility managers will be very effective at managing your company’s property leasing and rental agreements. The tasks may include tracking the terms of the agreements, monitor lease lock-in periods and rent-free periods, managing landlord contacts and dealing with them on payments, etc. Needless to mention the importance of relationship building for accomplishing these tasks optimally.

  5. Problem Solver:
  6. Men and women differ in their problem solving skills. Men are less communicative and tries to dominate the problem solving process to use it as a chance to demonstrate their knowledge and skills, while women focuses more on the process of solving a problem. During the process, women often rely on taking help of those close to them, discussing their situation in detail, and forming a team to address the issues collectively.

Utility in FM: Any facility manager is now able to organize their task right on their palm through online facility management software. These software have made a facility manager’s job easy, but you shouldn’t forget that computers can only organize your tasks and not physically do it. For that, you’ll need manpower and teamwork plays the best role here. Women facility managers tend to discuss the issues and problems in detail with their staffs and want them to get involved in the whole process. This teamwork makes the job easier for everyone.

  7. Opportunity Expert:
  8. Men usually loathe women for their opportunity grabbing skills. However, seeing opportunity in everyone and everything, and giving life to their own ideas and inspiring others to do the same is what makes women more practical and precise with their objectives and goals. Also, they don’t get their egos in the way and thus never get distracted.

Utility in FM: In facility management, the leader has to work with a wide range of data. An expert facility manager tries to find the opportunities for the company by assimilating them and looking for patterns, linkages, and relationships for having a clear path to future. Facility management software are a huge help here with their wide range of functioning with data.

  9. Emotionally Intelligent:
  10. Being emotionally intelligent at workplace is about being able to take critical feedback, refraining from blame games, giving relevant opinions that are valuable to the company or the entire team, and keep encouraging oneself and people around you for achieving a better working environment. Many researches conducted around the world prove that a woman’s brain is wired in a way that makes them more emotionally intelligent and aware.

Utility in FM: Facility managers communicate with each and every level of an organization such as their management team, workforce, third-party vendors, and the maintenance crew. An emotionally intelligent person with effective self management skills as well as strong social skills balance these communications and make the most out of it. Tips for Directing Your Interview

It’s not enough to work as a workplace manager even if you love the job and its possibilities. You are supposed to roll several roles into one and rock in each role because duties involved may include more practical and hands-on tasks. Therefore, take in charge of your interview. Here is how to start.

  • Understand your responsibilities: You may be supposed to convince the CEO about software and ROI. At the same time you may be leading or training a team. This us a wide range and can be intimidating for some. So understand and negotiate a better salary.

  • Communication is the key: This may sound clichéd but communication is the key to opening and closing doors. You be communicating with several departments- finances, sales and marketing and with C-level executives. Ask yourself, can I do this? Am I short tempered? Do I need to iron out behavioral issues?

  • Be a problem solver: Don’t take problems to your CEO. Take solutions to the problems because you are expected to coordinate across departments. In your interview you should steer the conversation to ensure that the interviewee knows you are a problem solver.

  • Learn to work flexible hours: There are times when you will have to work emergency hours. Be there. And be visible with your energy and attitude.

  • Link facility to productivity: In the words of Seth Godin – be a Linchpin. Any time there is a discussion on productivity, ensure that you are involved. Set the stage during the interview by linking productivity to facility.

  • Stress the importance of technology: Inquire if software is being used. It may be that the software used is not adequate for your plans. In that case you may have to justify the cost to ROI. Be prepared for that. But don’t use the interview to pitch for software. You still have to get a job.

There are plenty of facilities looking for people interested in jobs. All you have to do is look for them and apply your skills to get the job. Good hunting!

Laptops or external hard drives can be stolen, or they might just corrupt one day. Also, creating regular backups manually is a tough task to do.

This is where; web-based facility management software comes as a savior. All your confidential data stored in a web-based facility management software is highly secured, backed-up daily and uses enterprise-class servers in multiple highly-secured data centers.
